Team members and per-intent call routing
4 min · updated Jul 24, 2026
In short
Add the people who should hear about calls, and route each type of call to the right person — so an emergency reaches your on-call tech while a routine booking goes to the front desk.
01Add your team
Go to Team in the dashboard and add the phone numbers that should get call notifications. Each teammate gets a text summary when a relevant call comes in.
02Choose who gets what
On Starter, one contact gets every call. On Growth and up, add unlimited contacts and route by intent — send emergencies to your on-call number and bookings to the front desk.
Per-intent routing to multiple contacts is a Growth-plan feature; single-contact notifications work on Starter.
03Set the transfer waterfall
For live transfers, Ahoya tries your number first, then up to two backups; if nobody answers it takes a message and texts the team instead of dropping the caller. This is a warm hand-off during a call — different from answering modes, which decide whether the AI picks up in the first place.
You turn on warm transfer and set the backup numbers in the assistant editor's Transfer settings.
Frequently asked questions
Do teammates need an Ahoya login?
No. Team notifications go out by SMS to the numbers you add — they don't need an account to receive call summaries.
Is routing the same as answering modes?
No. Answering modes decide when the AI answers a call; routing and transfer decide who hears about it afterward and who a live caller can be connected to. See the Answering modes guide for the first, this guide for the second.
